Under direct supervision provide non-routine and routine support services for a Vice-President/AVP. Support services include: Project and/ program coordination, database maintenance, problem solving, and ordering supplies.Demonstrate respect, dignity, kindness and empathy in each encounter with all patients, families, visitors and other employees regardless of cultural background.
Job Description:
Provide administrative support to staff including: Answers phones, greets visitors, and takes messages, prepares routine and non-routine correspondence, minutes, and presentations, coordinate and schedules meetings, rooms, food, agendas, and related materials, maintain calendar, sorts and distributes materials and mail.
- Respond to inquiries and resolves problems that require interpretation, explanation, and justification of administrative and programmatic policies and procedures.
Assist with program and/or project coordination for an area. May provide routine and non-routine problem resolution and paperwork completion, setup and maintain equipment for presentations.
Maintain database (s) and perform data entry.
Participates in analysis, design, and implementation of office information systems. Maintains current knowledge of technology and office automation methods to ensure office efficiency and maximize productivity. Consults with administration to implement changes.
Reviews and monitors fiscal transactions and accounts. Maintain budget expenses, reconciles expenses and prepares reports as needed. Orders supplies and equipment as needed.
Coordinate travel estimates and arrangements and process related paperwork.
Maintain files and records and confidentiality as appropriate.
Performs other duties as assigned.
Education, Credentials, Licenses:
High school diploma or equivalent
Specialized Knowledge:
- Proficient in Microsoft software, i.e., Word, Excel, PowerPoint, Access
Kind and Length of Experience:
- Minimum of two years experience in administrative office environment.
- Strong spelling & grammatical skills
DESIRABLE
Advanced classes in clerical/administrative skills, and/ or Associate degree in secretarial skills.
Ability to type/word process 60 w.p.m.
Experience in a Healthcare setting at the Executive Secretary level.
